Billing & Subscription
This page explains your subscription options, how to upgrade or downgrade, how to manage your payment information, and what happens if you decide to cancel.
To access billing and subscription settings, open the user/account menu and click Billing (or use the Upgrade button in the top bar). This lands you on the Plan & billing ("Choose Your Plan") page.
Subscription Plans#
Quilt Logger offers three plans to fit businesses of all sizes. You start on the Free plan and can upgrade anytime.

Free Plan#
Perfect for part-time quilters or anyone trying out the platform. All core features are included — you just have limits on how many quilts, customers, and patterns you can manage, and automated customer notifications aren't available.
- 50 quilts per year (resets on your signup anniversary)
- Up to 100 customers
- Up to 30 patterns in your library
- Thread and batting catalogs in Profile → Threads & Batting for quilt costing (no stock-level inventory tracking)
- No automated email or SMS to customers (you'll contact them manually)
Basic Plan#
A great fit for small quilting businesses that want to keep customers automatically updated. Basic costs $5/month or $36/year, which saves 40% compared to monthly billing.

- Unlimited customers
- Up to 100 patterns in your library
- Thread and batting inventory tracking in Profile → Threads & Batting (on-hand quantities, reorder points, and low-stock alerts)
- Automated email notifications to customers when quilt status changes

Pro Plan#
Built for growing businesses with high volumes or those who want to offer SMS updates. Pro costs $10/month or $72/year, which saves 40% compared to monthly billing.
- Unlimited quilts, customers, and patterns
- Thread and batting inventory tracking, reorder points, and low-stock alerts
- Automated email notifications to customers; SMS notifications coming soon
- Advanced analytics
- Early access to new features
- Priority support with responses within 12 hours
Upgrading Your Plan#
You can upgrade at any time. Your new limits take effect immediately after upgrading.
- Open the user/account menu and click Billing (or click Upgrade in the top bar)
- On the Choose Your Plan page, find the plan you want
- Click the plan's Upgrade to {plan} button
- You'll be redirected to Stripe Checkout, Stripe's secure hosted page
- Enter your credit or debit card details there and confirm
Once Stripe confirms the payment, you're returned to Quilt Logger on the new plan. Your billing is prorated — if you upgrade partway through a billing period, you'll only be charged for the remaining days at the new rate.
Your data is never affected by upgrading. All existing customers, quilts, and invoices remain exactly as they are.
Downgrading Your Plan#
Downgrading from Pro to Basic is done in the Stripe Billing Portal:
- Open the user/account menu and click Billing
- Click Manage Subscription & Billing to open the Stripe Billing Portal
- Switch your plan to Basic in the portal and confirm
Downgrading to the Free plan is not self-service. The Free plan card shows a disabled Contact Support to Downgrade button — to move down to Free, contact support and our team will make the change for you.
What to know before downgrading:
- Your current plan continues until the end of the billing period you already paid for
- After the period ends, your plan switches to the lower tier
- If you downgrade to Free and have more customers, quilts, or patterns than the Free plan allows, you won't be able to add new ones — but your existing data stays safe and accessible
- Thread and batting inventory tracking (stock levels, reorder points, and low-stock alerts) is not available on the Free plan; catalogs remain available
- Automated notifications will stop working if you move below the plan that includes them
Managing Your Payment Method#
Your payment method is managed in the Stripe Billing Portal:
- Open the user/account menu and click Billing
- Click Manage Subscription & Billing to open the Stripe Billing Portal
- Update your card details in the portal
Your new card will be used for all future billing.
Security note: Quilt Logger uses Stripe for payment processing. Your card details are never stored on our servers — they're handled entirely by Stripe, which is trusted by millions of businesses worldwide.
Viewing Billing History#
Your past charges, receipts, and invoices live in the Stripe Billing Portal:
- Open the user/account menu and click Billing
- Click Manage Subscription & Billing to open the Stripe Billing Portal
- In the portal you'll find your full billing history, where you can view and download receipts and invoices
Cancelling Your Subscription#
You can cancel your subscription at any time with no cancellation fees. Cancellation is handled in the Stripe Billing Portal:
- Open the user/account menu and click Billing
- Click Manage Subscription & Billing to open the Stripe Billing Portal
- Cancel your subscription in the portal and confirm
What happens after you cancel:
- Your paid plan continues until the end of the billing period you already paid for
- After that, your account moves to the Free plan (not deleted)
- Your data remains accessible at the Free plan limits
- You can resubscribe at any time to restore full access
Tip: Before cancelling, consider exporting your data as a backup. Your data is retained even after cancelling, but it's always good to have a local copy.
What Happens When You Hit Your Limits?#
When you're close to your quilt, customer, or pattern limit, Quilt Logger will show a warning message. Once you reach a limit:
- You won't be able to add new quilts (if at the quilt limit)
- You won't be able to add new customers (if at the customer limit)
- You won't be able to add new patterns to your library (if at the pattern limit)
- Thread and batting stock tracking requires Basic or Pro — Free plan users can still configure catalogs in Profile → Threads & Batting for quilt costing
- All existing data remains fully accessible — nothing is deleted or hidden
- You can still edit, invoice, and communicate about existing records
To continue adding new records or unlock inventory tracking, upgrade to a higher plan from the Billing item in the user/account menu (or the Upgrade button in the top bar).
Common Billing Questions#
Will I be charged immediately when I upgrade? Yes. When you upgrade, you're charged immediately for the new plan. The charge is prorated based on how many days are left in your current billing period.
Can I pause my subscription instead of cancelling? Not currently. If you need a break, you can cancel and resubscribe when you're ready. Your data is kept for up to one year after cancellation.
I was charged but didn't mean to upgrade. Can I get a refund? Contact support through the Feedback button in the app or by email as soon as possible and we'll work with you to resolve it.
What currency are the prices in? All prices are in US Dollars (USD).
