Quilt Tracking

The Quilts page is your central hub for managing all quilting projects. Track quilts from intake to completion, manage pricing and materials, upload photos, and generate invoices.

Page Overview#

The Quilts page includes:

  • Statistics cards: Total quilts, average price, and total revenue (financial cards are revealable for privacy)
  • Activity chart: Visual timeline of quilt completions over time
  • Pending quilts table: Quilts currently being worked on
  • Completed quilts table: Searchable, filterable grid of all finished quilts

Pending Quilts#

The pending quilts table shows all quilts with a status of Received or In Progress.

  • Status toggle: Click the status badge to switch between Received and In Progress
  • Complete button: Marks the quilt as completed and moves it to the completed table
  • Edit button: Opens the Edit Quilt modal

When all pending quilts are done, you'll see a "All caught up!" message.

Completed Quilts#

The completed quilts table displays all finished and delivered quilts with search and filtering.

Search & Filters#

Search across customer name, quilt name, pattern, machine, location, and notes. Use the Filters button for advanced filtering by:

  • Date range: Filter by creation date
  • Price range: Min/max price
  • Location, Machine, Pattern: Filter by any of these fields

Filters can be combined and an active filter badge shows how many are applied.

Creating a New Quilt#

Click "New Quilt" to open the intake form. The form includes:

Automatic Pricing#

The total price updates in real-time as you fill out the form:

  • Quilting cost: Calculated from size × rate (per square inch, per linear inch shortest, or per linear inch longest)
  • Batting cost: Size × batting cost per square inch
  • Extras: Sum of all selected extra services
  • Minimum charge: Applied if calculated total falls below the rate's minimum
  • Rounding: Optionally rounds to nearest dollar

Tip: Configure your rates, batting, and extras in Services Configuration before creating quilts.

Viewing & Editing Quilts#

Click any row in the completed table to open the View Quilt modal showing all details, photos, and actions.

From the View Quilt modal you can:

  • Edit Quilt: Opens the edit form with all data pre-filled
  • Delete Quilt: Removes the quilt from your view
  • Generate/View Invoice: Create or view the linked invoice

The View Quilt modal includes a photo gallery with:

  • Thumbnail grid with click-to-expand full-screen viewer
  • Keyboard navigation (arrow keys) and swipe on mobile
  • Add or delete photos at any time
  • Supported formats: JPEG, PNG, GIF, WebP, HEIC (auto-converted to JPEG)

Quilt Status Workflow#

Quilts progress through four stages:

Typical flow: Received → In Progress → Completed → Delivered. You can skip stages for fast turnarounds or move quilts back if work is paused.

Pattern Library#

Access the Pattern Library from the pattern field in the New/Edit Quilt form.

  • Browse, search, and filter your saved patterns
  • Add new patterns with name, designer, size, tags, notes, and an image
  • Click any pattern to select it for the current quilt
  • Patterns are also auto-saved when you type new names in the quilt form

Note: Deleting a pattern from the library does not affect quilts that already use it.

Tips & Best Practices#

  • Accurate measurements: Measure carefully for correct pricing
  • Use the Pattern Library: Consistent naming and faster intake
  • Upload photos early: Capture quilt tops during intake to save time later
  • Keep statuses current: Accurate status tracking helps with workload planning
  • Set deadlines: Use deadline and scheduled start dates for better scheduling
  • Record requests: Note all customer preferences to avoid confusion
