Services Configuration

The Services page is where you set up your quilting business operations — machines, pricing rates, locations, batting, extras, threads, patterns, and customer field preferences. These configurations drive automated pricing, dropdown menus, and workflows throughout the app.

Critical Setup: Orange dot indicators appear in the top menu navigation for sections that still need configuration.

Machines#

Manage your quilting equipment. Machine names appear in dropdowns when creating quilts.

  • Name (required), Description (optional), and Color for visual identification
  • Set Default: Pre-selects a machine when creating new quilts
  • Deleting a machine won't affect historical quilt records

Rates (Quilting Pricing)#

Define pricing models that automatically calculate quilt costs from dimensions.

Rate Options#

  • Rate Name and Rate Value (required)
  • Minimum Charge: Ensures small quilts meet a price floor (e.g., $30 minimum)
  • Rounding: Rounds final price to nearest dollar
  • Rate Preview: Shows an example calculation as you configure
  • Set Default: Pre-selects a rate for new quilts

Tip: Most quilters use per-square-inch pricing ($0.015–$0.035) for pantograph and higher rates ($0.035+) for custom quilting.

Locations#

Manage pickup and dropoff points for customer quilts.

  • Name (required) and Color for visual identification
  • Locations appear in customer records and quilt details
  • Set a default location for quick data entry

Customers#

Control which fields appear when adding or editing customers.

Customer Tags#

Create custom tags to categorize customers (e.g., "VIP", "Local", "Wholesale", "Guild Member"). Tags appear as selectable options in customer forms.

  • Type a name and click "Add Tag" to create
  • Click the X on any tag to remove it
  • Start with 3–5 essential tags and expand as needed

Patterns#

Manage your quilting pattern library with names, descriptions, tags, and images.

  • Quick add: Type a name and click "Add"
  • Bulk add: Enter multiple names separated by commas or new lines
  • Edit details: Click any pattern card to add description, tags, and an image (JPEG, PNG, GIF, WebP, max 5MB)
  • Search and filter: Available when you have more than 5 patterns

Tip: Use bulk add when first setting up to quickly import your entire pattern library.

Batting#

Manage batting inventory with automatic unit conversion for pricing.

Enter cost in whichever unit you purchase (per inch, foot, or yard) and Quilt Logger converts to a standardized per-inch rate for calculations.

Each batting item displays both your entered cost and the calculated per-inch rate.

Auto-Calculation#

Optionally enable auto-calculation to compute quantity from quilt dimensions:

  • Factor: Perimeter, area, shortest side, longest side, or diagonal
  • Multiplier: Adjust the calculated value (e.g., 2.5× for extra fabric)

Example: Binding at $0.10/lin. in. with perimeter factor → 60" × 80" quilt = 280" perimeter × $0.10 = $28.00

Threads#

Manage top thread (decorative) and bottom thread (bobbin) inventories separately.

  • Quick add: Type a name and press Enter
  • Bulk add: Enter multiple names separated by commas or new lines
  • Use descriptive names including brand, weight, and color (e.g., "Aurifil 50wt 2024 - White")

Best Practices#

Initial Setup Order#

  1. Machines → Add your equipment
  2. Rates → Set up 2–3 standard rates
  3. Locations → Add your primary location and pickup points
  4. Patterns & Threads → Use bulk add to import your inventory
  5. Set Defaults → Mark default machine, location, and rate for faster entry

Ongoing Maintenance#

  • Review rates and costs quarterly
  • Add new batting, threads, and patterns as you acquire them
  • Remove items you no longer use
  • Create a test quilt to verify pricing calculations after changes

Note: Deleting any item (machine, pattern, rate, etc.) won't affect historical quilt records — it only removes it from future selections.
