Getting Started#

Do I need to install anything?#

No. Quilt Logger is a web-based application. Just open a web browser, go to the Quilt Logger website, and sign in. No downloads or installations required.

What browsers work best?#

Chrome and Edge work best. Firefox and Safari are also fully supported. Make sure your browser is up to date for the best experience.

Can I use Quilt Logger on my phone or tablet?#

Yes, Quilt Logger works on phones and tablets, but we recommend a laptop or desktop computer for everyday use. Data entry and viewing tables is much easier on a larger screen.

Do I need to verify my email?#

Yes. After signing up, you'll receive a verification email. You must click the link in that email before you can log in. If you don't see it, check your spam or junk folder.


My Account#

How do I change my password?#

  1. Click the Settings icon in the top menu
  2. Scroll to the Authentication section
  3. Enter your current password, then your new password
  4. Click Save Changes

If you've forgotten your password, see Forgot Password.

How do I update my name, phone number, or profile photo?#

  1. Click Settings in the top menu
  2. Scroll to Basic Settings
  3. Update your name, phone number, or profile photo
  4. Click Save Changes

How do I change my email address?#

  1. Go to Profile → Settings → Authentication
  2. Enter your new email address in the Email field
  3. Click Save

The change takes effect immediately — there's no verification link, and your old address stops working right away. Double-check the spelling before saving, since a typo will lock you out of logging in.

I forgot my password. What do I do?#

On the login page, click Forgot Password? and enter your email address. You'll receive an email with a link to create a new password. See Login Help & Password Reset for detailed steps.


Subscription & Billing#

What's included in the Free plan?#

The Free plan includes:

  • Up to 50 quilts per year
  • Up to 100 customers
  • Up to 30 patterns in library
  • Thread & batting catalog in Profile → Threads & Batting (no stock tracking)
  • Invoice generation

  • Basic email support

It's a great way to try out the platform before committing to a paid plan.

The Basic plan includes:

Basic is $5/month or $36/year, which saves 40% compared to monthly billing.

How do I upgrade my plan?#

  1. Open the user/account menu and click Billing (or click Upgrade in the top bar)
  2. On the Choose Your Plan page, click the plan's Upgrade to {plan} button
  3. You'll be redirected to Stripe Checkout to enter your card details and confirm

Can I cancel anytime?#

Yes. Open the user/account menu, click Billing, then click Manage Subscription & Billing to open the Stripe Billing Portal, where you can cancel, downgrade to Basic, or update your payment details. (Downgrading to the Free plan isn't self-service — contact support for that.) Your access continues until the end of the billing period you already paid for.

Is my payment information secure?#

Yes. Quilt Logger uses Stripe for payment processing, which is the same service used by millions of businesses worldwide. Your card details are never stored on our servers.

What happens if I go over my plan limits?#

You'll see a warning message when you're approaching quilt, customer, or pattern limits. Once you reach a limit, you won't be able to add new records of that type until you upgrade or your yearly quilt period resets. Thread and batting stock tracking requires Basic or Pro — Free plan users can still configure catalogs in Profile → Threads & Batting for quilt costing.


Customers & Quilts#

Can I delete a customer by mistake?#

Deleting a customer is reversible — it's a "soft delete," meaning the record is hidden from your list but not permanently removed. Contact support if you need to recover a deleted customer.

Can I change the price on a quilt after it's been saved?#

Yes. Open the quilt, click Edit, update the pricing fields, and save. You can also override the auto-calculated price with a custom amount.

Can I assign a quilt to a different customer?#

Yes. Open the quilt, click Edit, and select a different customer from the dropdown.

What does each quilt status mean?#

Invoices#

Do invoices get sent to customers automatically?#

No. Quilt Logger generates the invoice for you, but you choose when and how to send it. You can download a PDF and send it yourself, or use the Email to Customer button (Basic and Pro plans).

Can I edit an invoice after it's been created?#

Yes. Go to Invoices, find the invoice, and click Edit. You can update amounts, notes, and status.

Can I create an invoice without a quilt?#

Invoices in Quilt Logger are tied to quilts. To generate an invoice, you'll first need to create a quilt record for the customer.

How do I mark an invoice as paid?#

Open the invoice and click Record Payment. You can enter a partial payment or full payment, along with the payment method and date.


Services & Pricing#

Why can't I create a quilt?#

You need to have at least one quilting rate configured before you can create a quilt. Go to Services → Rates and add a price rate with a price per square inch, then try again.

Can I have different prices for different customers?#

The system uses your configured rates as defaults, but you can override the price on any individual quilt when creating or editing it.

Can I add a service I charged for but didn't set up ahead of time?#

Yes. When editing a quilt, you can manually adjust the cost fields. You can also add new extras in Services → Extras and then apply them.

Where do I manage thread and batting?#

Go to Profile → Threads & Batting. Every plan can add thread and batting catalog items for quilt intake. Basic and Pro plans can also track on-hand stock, set reorder points, and enable low-stock alerts. See Threads & Batting Inventory.


Communications#

Why can't I send SMS messages?#

SMS messaging is a Pro plan feature. You'll also need to have the customer's phone number saved and their SMS consent recorded. See the Communication System page for details.

Will my customers receive emails automatically when I change a quilt status?#

Automated email notifications are available on Basic and Pro plans. When enabled, customers receive an email when their quilt status changes. On the Free plan, you'll need to contact customers manually.


Data & Privacy#

Can I export my data?#

Yes. Go to Import & Export in the top menu (also reachable via Profile → Data) and choose what to download — customers, quilts, invoices, or a tax summary. Data exports as a CSV file that you can open in Excel or Google Sheets.

Is my data backed up?#

Yes. Quilt Logger automatically backs up your data in the cloud. You can also manually export your data anytime for your own peace of mind.

What happens to my data if I cancel?#

Cancelling a subscription and deactivating your account are different. Cancelling a subscription simply drops you to the Free plan — your data stays fully accessible at the Free limits, and you can re-subscribe anytime. Deactivating your account is what triggers the one-year retention window: your data is kept for one year, and reactivating requires contacting support (it can't be done from the app). After one year, deactivated-account data is permanently deleted. We recommend exporting your data before cancelling or deactivating.


Troubleshooting#

The page isn't loading correctly. What should I do?#

  1. Refresh the page (press F5 or Ctrl+R / Cmd+R on Mac)
  2. Clear your browser cache (usually in browser Settings → History)
  3. Try a different browser
  4. Check your internet connection

I'm not receiving emails from Quilt Logger.#

Check your spam or junk folder. If emails are going to spam, mark them as "Not Spam" so future emails come through. Make sure the email address on your account is correct by checking Settings → Basic Settings.

Something isn't working the way I expect. How do I report it?#

Use the Feedback button inside the app. Describe what you were trying to do and what happened instead. Screenshots are very helpful if you can include one. See Report a Bug for tips on submitting helpful feedback.
