Deactivating your Account

We're sorry to see you go! If you've decided to deactivate your Quilt Logger account, this guide will walk you through the process step by step.

Important Information Before You Begin#

What Happens When You Deactivate#

When you deactivate your account:

  • You will no longer be able to log in to Quilt Logger
  • Your data will be retained for 1 year (365 days) from the date of deactivation
  • You can request data retrieval by contacting our support team within the retention period
  • After 1 year, your data will be permanently deleted and your account anonymized

Prerequisites#

Before deactivating your account, you must:

  1. Cancel any active subscriptions - You cannot deactivate while a subscription is active
  2. Export all your data - Download your customers, quilts, and invoices for safekeeping

How to Deactivate Your Account#

  1. Log in to your Quilt Logger account
  2. Click on the Settings icon in the top menu navigation
  3. Scroll down to the Deactivate Account section
  4. Click the Deactivate Account button to open the 3-step guided process

The 3-Step Deactivation Process#

The deactivation dialog guides you through three steps, indicated by numbered circles at the top. You must complete each step before proceeding to the next.

Step 1: Subscription Status#

If you have an active subscription:

  1. The system will detect your subscription and display your current status
  2. Click the Open Billing Portal button to access Stripe's secure billing portal
  3. Cancel your subscription in the billing portal
  4. Return to Quilt Logger and click Refresh Status to update your subscription status
  5. Once your subscription shows as canceled, the Next button will become active

If you don't have an active subscription:

You'll see a green confirmation message indicating you can proceed. Click Next to continue.

Note: The system automatically refreshes your subscription status when the window regains focus (e.g., after returning from the Stripe portal).


Step 2: Export Your Data#

Before deactivating, we strongly recommend exporting your data:

  1. Review the data retention policy warning:

    • Data is only guaranteed to be retained for 1 year
    • After deactivation, you must email data@quiltlogger.com to request data retrieval
  2. Click the Go to Export Page button (opens in a new tab)

  3. On the Export page, download:

    • Customers - Your complete customer database (CSV or JSON)
    • Quilts - All quilt records with full details
    • Invoices - Your complete invoice history
  4. Save these files securely to your computer

  5. Return to the deactivation dialog and click Next

Important: Once your account is deactivated, you cannot access the export page directly. You'll need to email support to request your data.


Step 3: Confirm Deactivation#

This is the final step:

  1. Read the confirmation message carefully
  2. Type deactivate (exactly as shown, lowercase) in the text field
  3. Click the Deactivate Account button

This action will:

  • Immediately log you out of all sessions
  • Clear your authentication cookies
  • Redirect you to the login page
  • Prevent future login attempts (you'll see an "Account Deactivated" page)

After Deactivation#

What You'll See#

If you attempt to log in after deactivation, you'll be redirected to an "Account Deactivated" page with options to:

  • Contact support for assistance
  • Return to the login page

Accessing Your Data#

If you need to retrieve your data after deactivation (within 1 year):

  1. Send an email to data@quiltlogger.com

  2. Include:

    • Your registered email address
    • Your full name
    • Approximate deactivation date
    • Specific data you need (customers, quilts, invoices, patterns, or all)
  3. Our team will process your request and send your data within 5-7 business days

Reactivating Your Account#

Currently, deactivated accounts cannot be self-reactivated through the application. If you wish to use Quilt Logger again:

  1. Contact support at support@quiltlogger.com
  2. Provide your original account email address
  3. Our team will review your request and assist with reactivation options

Alternatively, you can create a new account and import your previously exported data.

Canceling the Deactivation Process#

Changed your mind? You can cancel at any time during the 3-step process:

  • Click the Cancel button to close the dialog completely
  • Use the Back button to return to previous steps and make changes
  • Simply close the dialog by clicking outside it

Your account will remain fully active until you complete all three steps and confirm the final deactivation.
